Description

DEPARTMENT: TECHNOLOGY

SUPERVISOR TITLE: TECHNOLOGY DEVEOPMENT & SUPPORT MANAGER

STATEMENT OF PURPOSE:

Evaluate, design, develop and document software components to support editorial, composition and conversion services for scientific, technical and medical journal content.

POSITION DUTIES/RESPONSIBILITIES:

1. Establish specifications and guidelines for vendors providing editorial, composition and content conversion services.

2. Evaluate vendors and products that provide editorial, composition and content conversion services.

3. Research, design and develop software solutions that provide editorial, composition and content conversion services.

4. Design and develop workflow systems to support editorial, composition and content conversion services.

5. Assist in evaluation, design and development of content distribution services.

6. Assist in design and development of mobile applications optimized for presentation of scientific, technical and medical content.

7. Develop utilities to support editorial, composition and conversion processes, including scripts to facilitate workflows, data validation, testing and transformation.

8. Monitor and/or participate in relevant standards developments, for example ePUB.

9. Establish QC guidelines, tools and processes for other members of the organization to use to monitor quality and performance of applications.

10. Provide level II technical guidance to support staff.

11. Assist in development of departmental standards for unit testing, version control, change management, deployment, configuration management and application monitoring.

12. Establish expertise in structured document DTD’s such as NLM and DocBook.

13. Maintain high level of proficiency in XML, XPATH, XSLT, HTML 5.0, CSS, ePUB, PDF and related standards.

14. Maintain high level of programming proficiency in a number of languages, including but not limited to Perl, Ruby, C/Objective-C and Java.

15. Perform other job related duties as may be assigned or required.

Qualifications

1. College degree or equivalent work experience in Computer Science

2. Strong HTML/CSS/Javascript knowledge and skills

3. Demonstrated experience using XML/XSLT/XPATH

4. Demonstrated experience in use of scripting language such as Perl, Ruby or Python

5. Demonstrated experience in use of programming languages such as Java, C# or Objective-C

6. Experience using an MVC web framework, such as Ruby on Rails

7. Strong SQL and database application programming skills, ideally including use of an ORM such as ActiveRecord or Hibernate

8. Basic knowledge or experience with database setup and administration

9. Prior knowledge of ePUB, NLM and/or DocBook is a plus

10. Knowledge and experience with RESTful web services, RSS and ATOM is a plus

11. Experience in publishing large volumes of content for large scale web application(s) is a plus

12. Strong analytical and problem solving skills

Production Specialist

Description

STATEMENT OF PURPOSE:

Performs production management duties, from copyedit review through release to press. Provide direction to Assistants and support for the account team.

JOB DUTIES/RESPONSIBILITIES:

1. Contact author/editorial office for missing elements or substandard materials.

2. For outsourced copyediting: Work with team to prioritize assignments. Review copyediting by freelancers, resolve queries and provide feedback as necessary.

3. For in-house copyediting: Edit manuscript per specific journal style. Resolve editing and art queries with author and editor.

4. Review incoming advertising materials and resolve queries/problems.

5. Track materials (mss, art, ads, etc) at article and issue stages with Assistant support as needed. Maintain pertinent internal and customer databases.

6. Prepare electronic files and associated materials for composition and/or imaging.

7. Perform pre-compile and compile duties. Review author and editor corrections and revised art. Clarify instructions for composition and scanning. Review article and issue revisions. Maintain updates of issue standing matter.

8. Check offshore partners’ products for compliance with journals style and specifications. Review/QC image, cover and ad proofs as required. Resolve basic quality concerns.

9. Correspond with authors, customer, offshore partner, manufacturer, online provider(s), etc, regarding schedules, special instructions and job status.

10. Verify final files and prepare job release materials, including Closing Memo and notifications to manufacturing and online providers(s).

11. Maintain procedures documentation, and contribute to ongoing workflow refinements.

12. Responsible for training new staff

13. Other projects as assigned.

Qualifications

1. Bachelor’s degree preferred, or minimum 3 years editorial/composition/publishing and customer service experience.

2. Organized and attentive to fine detail. Must be able to multi-task.

3. Excellent verbal and writing skills. Professional level of phone and email skills.

4. Able to resolve conflict in a professional manner.

5. Good computer skills, including keyboarding, file management, databases, and experience with MS applications.

6. Cooperative with other departments and personnel, and able to maintain positive relationships with customers.

7. Able to meet deadlines.

8. Understand journal style elements and production process.

Receptionist (part-time)

Description

STATEMENT OF PURPOSE:

The Receptionist is primarily responsible for handling all incoming telephone calls and greeting all office visitors. The Receptionist is also responsible for maintaining the overall appearance of the front reception area and the general office. The position is part-time, M-F, 11am to 4:30pm.

JOB DUTIES/RESPONSIBILITIES:

• Handle all incoming telephone calls within 3 rings.

• Receive all office visitors and alert the appropriate employee(s) of guest’s arrival.

• Maintain the Visitor Log for the purpose of call requests and emergency headcount verification needs.

• Update and maintain the office phone list.

• Coordinate reservations for conference room and equipment and prepare room for staff meetings and customer visits.

• Process daily incoming and outgoing mail and shipping.

• Process weekly FedEx and UPS purchase orders and update spreadsheet as appropriate.

• Travel coordination for onsite visits by the telecommuting staff.

• Create and maintain job numbers for each journal issue as directed by the Production Services staff. This includes journal distribution and coordinating the journal library.

• Order and inventory office supplies and coordinate deliveries to employees, which includes Ergonomic supplies as requested by Human Resources.

• Maintain common use equipment (copiers, fax machines, first aid kit, etc).

• Contact for office needs (electrician, phone maintenance, locksmith, janitorial, maintenance, security).

• Maintenance / office coordination (monthly break room refrigerator cleanup, plumbing needs, power issues, off-site storage facilitation, temperature control).

• Coordinate office lunches including set up and clean up.

• Adhere to safety policies and procedures while maintaining an overall awareness of safety within the workspace. Which includes providing administrative support as assigned by the Safety Committee and Chairperson.

• Coordinate monthly employee birthday and anniversary recognition cards, as assigned by Human Resources.

• Maintain a friendly, warm, helpful and professional demeanor at all times.

• Other general administrative projects and duties as assigned.

Qualifications
